POSITION DESCRIPTION
CHURCH BUSINESS ADMINISTRATOR
PURPOSE
The Church Business Administrator is responsible for the financial management and facilities maintenance of Westminster Church.
ACCOUNTABILITY
The Church Business Administrator will work under the direct supervision of the Pastor/Head of Staff.
QUALIFICATIONS
Preference will be given to applicants who possess the following qualifications:
- A bachelor’s degree or equivalent training in business or accounting.
- Two years work experience in a related field.
- Full charge bookkeeping experience.
- Experience in use of financial software package (general ledger, financial statements, accounts payable and accounts receivable), spreadsheet software (Excel or Lotus), and word processing (Microsoft Word). Experience with the Shelby system would be a plus.
- Supervisory experience.
RESPONSIBILITIES
- To maintain all records pertaining to receipts and disbursements of church funds and manage all church bank accounts, reconciling (or arranging for reconciliation of) bank statements monthly.
- Prepare and issue (or arrange for issuance of) all checks for church bills and expenses.
- Serve as the accountant for the Support and Endowment Trust Funds, managing the financial records and making appropriate reports as needed.
- To post (or supervise posting of) pledge receipts against each member’s pledge record and to prepare and mail quarterly statements to the congregation regarding each member’s giving record.
- To prepare a financial report for Session and committee chairs as soon as possible after the end of each month and to prepare the annual financial report and other end of year reports as required.
- To prepare and issue (or arrange for issuance) of all payroll checks and handle all employee withholding deposits and quarterly employee reports.
- To manage all employee medical insurance and pension plan matters.
- To supervise the scheduling of major maintenance and repairs of WPC building and grounds.
- To train, supervise, and oversee the work schedule of the church secretary.
- To supervise the custodial staff, the night security workers, and the rental property coordinator, managing schedules and workload priorities.
- To oversee the operation of the church’s Shelby software system for accounting and membership records and to assist in the training of the staff in the use of the system.
- To maintain the server for the WPC computer system.
- To prepare the weekly deposit and posting of deposit(s) to the appropriate records.
- To provide information and counsel to all committees which are engaged in budgetary planning, financial management, and stewardship development.
- To engage in a planned program for professional development.
- To carry out any other assignments as requested by the Pastor/Head of Staff.
FUNCTIONS
- To participate in regularly scheduled staff meetings, helping to create a climate of openness, trust, respect, and cooperation.
- To participate in the regularly scheduled meetings of the Fiscal Management Committee, the Support and Endowment Committee, the Building and Property Committee, and Rental Properties Management Committee.
- To serve as primary staff support person for the following: Fiscal Management Committee, Building and Property Committee, and the Rental Properties Management Committee.
EVALUATION AND COMPENSATION
- The Church Business Administrator will meet with the Pastor for an annual performance review.
- The Pastor will discuss annually with the Church Business Administrator the adequacy of compensation for this position.
- Salary recommendations will be handled according to the budget development process and then submitted to session for action.
